North East Scotland Youth for Christ is a Christian missionary organisation, with the mission of taking the Good News relevantly to every young person in North East Scotland. We are a Scottish Registered Charity No. SC018031. You can find out more about us at www.nesyfc.org.uk.

This Privacy Notice explains how  and why North East Scotland Youth for Christ collects and uses your personal information. Here at North East Scotland Youth for Christ we take your privacy seriously and will only use your personal information to administer your account and to provide the services and ministries you have requested from us. We process personal information in accordance with the Data Protection Act 1998 and the Privacy & Electronic Communications Regulations 2003. How do we collect personal information?

We collect personal information directly from you when you:

 

  • Generously make a donation, either one-off or through regular giving;
  • Ask to receive updates on our work;
  • Visit our website: please see the section “Cookies” below for more information;
  • Use social media: we may collect information that you make available on social media, for example, Twitter, Facebook, YouTube and LinkedIn. You may wish to check their privacy policies to find out more about how they will process your data.
  • Support our ministry joining by our team of volunteers;
  • Apply for a job to work with us;
  • Contact us with an enquiry or request for prayer;
  • Request for resources to share about our work;
  • Are a leader or have another key role in a church or organisation working in partnership with North East Scotland Youth for Christ;
  • Register to host a North East Scotland Youth for Christ event.

We collect personal information from other sources: 

  • When you make a request through our parent charity British Youth for Christ or another partner organisation and they pass your information on to us;
  • We may use the Royal Mail’s postcode finder, National Change of Address update (NCOA®) or the Phone Book to check the accuracy of the address or contact information we hold;
  • Information made available publicly by Charity Commission, Companies House or information that has been published in newspapers and articles. Please read more about how we use this information under “Fundraising” below.
  • When you visit our website(s) we may automatically collect information about your computer, including your IP address, information about your visit, your browsing history, and how you use our website.

 

What personal information do we collect?

  • Personal identifiers such as your title, name and year of birth;
  • Contact details including postal address, post code, email and telephone number;
  • Financial information such as your bank details;
  • Whether you are a UK tax payer;
  • How you have engaged with us, e.g. whether you have volunteered with us, hosted an event or made a donation;
  • Records of your contact with us.

Sensitive personal data: Some information is recognised in law as “sensitive personal data”. This includes, but is not limited to, information which reveals your religious beliefs, health issues, race or ethnic origin. North East Scotland Youth for Christ will always treat any sensitive personal data we process with greater care and process the information in accordance with the law.

  • North East Scotland Youth for Christ is a Christ-centred organisation with a Christian ethos. Where necessary and consented to, we may collect details about your church affiliations, personal faith and youth-related activities you are involved with in your own church.
  • We also receive prayer requests and the information may reveal sensitive personal data. We share and pray for these needs at our internal group prayer sessions.

 

Why do we collect your personal information?

  • To provide you with resources and training you have asked for.

  • To ask you for financial and non-financial support, such as volunteering or prayer.

  • To reclaim tax on Gift Aid donations, if applicable.
  • To confirm that you are over 18 and if not, obtain permission from your parent/guardian to process your information.

  • To determine and improve the effectiveness of our website and marketing campaigns.
  • To create and steward effective partnerships with Churches in North East Scotland.
  • To conduct market research to aid our understanding of our supporters and their views.

Marketing permissions

 

We are excited to share updates with you on how our work is impacting young lives for Jesus, and make requests for your crucial support in prayer. This includes sending you information about our work, news, appeals, events, volunteering opportunities and prayer requests.

Email marketing: We will ask for your permission to contact you by email or text for marketing purposes.

Postal marketing: From time to time we may send you information about our work unless you have told us you would prefer not to receive this information by post. We will only send you marketing information by post if you have given us permission to do so.

Telephone marketing: We may call to update you on the vital work we are doing.We will only make marketing calls to you if you have given us permission to do so.

We may contact you by post or telephone where we have a legitimate interest to do so. For example, where you have made a donation to Youth for Christ, we may send you information about the work your donation is making possible or other work we may wish to do. We may contact you by email or text if you have given us your consent to do so. Applying for a job or volunteering with us

Where you provide personal data and sensitive personal data when applying for a job with us, such as the information on your CV we will process, store and disclose the personal data we collect to:

  • Support the recruitment process.
  • Enable you to submit your CV, apply online for jobs and to subscribe for alerts about job types of interest to you.
  • Answer any questions you may have.
  • Use third parties to provide services such as references, qualifications, criminal referencing, checking services, verification of information you have provided, health screening and psychometric evaluation or skills tests.
  • Provide anonymised data to monitor compliance with our equal opportunities policy.

Where you provide personal or sensitive personal data, such as religious beliefs, dietary, mobility requirements or health information, to volunteer or travel on a trip with us we will store, process and disclose the personal information we collect to:

  • Deliver the volunteering opportunity, including the disclosure of sensitive data, such as medical information, to our partner(s) where necessary to deliver a safe trip or event for all involved.
  • Provide relevant information including fundraising materials and the volunteer role description.
  • Provide the administration of these events or opportunities to serve.
  • Monitor the quality of the volunteering opportunity or trip provided.
  • Answer any questions or feedback you may have.
  • Provide anonymised data to monitor compliance with our equal opportunities policy.
  • Support the recruitment process where a Christian commitment is necessary for the role.

 

How safe is your information with us?

 

We ensure that we have appropriate technical controls in place to protect all the personal data you provide. For example, we ensure that any online forms are encrypted to ensure they can only be read by people permitted to do so. Our network is robustly protected from unauthorized access and is routinely monitored.

 

We ensure that access to personal data is restricted only to those staff members or volunteers whose job roles require such access and that suitable training is provided for these staff members and volunteers.We may make limited use from time to time of external companies to collect or process personal data on our behalf. When we do so, we carry out checks on these companies, put in place contracts to make sure our requirements are clear, and carry out periodic reviews.

 

When we do use external companies, we remain responsible for the storing and processing of your personal data. However, we need to remind you that despite all our efforts, the internet cannot be guaranteed to be 100% secure, and that you submit data at your own risk.

 

We use cloud-based systems to process data and therefore data may be processed outside of the European Economic Area (EEA). We adopt the Information Commissioners approved measures and therefore ensure that personal data is held in compliance with European data protection regulations. We take all reasonable steps to ensure that your data is stored and processed securely in accordance with this policy. By submitting your personal data you agree to this transfer, storing and processing of your information.

 

Who do we share your information with?

North East Scotland Youth for Christ is a chartered ministry of British Youth for Christ . We will only share personal information with British Youth for Christ which is either consented to, or necessary to provide the resources or other services you have requested. North East Scotland Youth for Christ may be under duty to disclose your personal information where required in order to comply with any legal obligation.

 

Occasionally we may employ agents to carry out tasks on our behalf, such as fulfilling orders or processing donations. These agents are bound by contract to protect your data and we remain responsible for their actions.

 

We may provide third parties with general information about users of our site, but this information is both aggregate and anonymous. However, we may use IP address information to identify a user if we feel that there are or may be safety and/or security issues or to comply with legal requirements.

 

How long do we keep your data?

 

North East Scotland Youth for Christ will only keep your personal information for as long as it is required and in accordance with statutory requirements. For example, HMRC requires us to keep a record of your name, address and Gift Aid declaration for six years from the date of your last donation.  We will retain any safeguarding records indefinitely. Where your information is no longer needed, we will make sure it is disposed of securely.

 

If you have indicated that you do not wish to hear from us in the future, we will keep the minimum information necessary to ensure we avoid contacting you any further.

 

How do we treat children and vulnerable persons? 

 

Aged under 13 years: We do not actively seek to collect children’s data. If at any time we create any materials which may lead to someone aged under 13 years providing their details, we make it clear that we will need their parent’s / guardian’s permission before giving us their personal information.

 

Supporters in vulnerable circumstances: We recognise the importance of identifying and supporting supporters in vulnerable circumstances. Staff who send or respond to supporter emails, mailings or calls are trained to be aware of, to identify signs of vulnerable circumstances and to deal with the supporter appropriately in accordance with our supporters in vulnerable circumstances policy.

 

Personal information will be recorded so that we may respond appropriately in future, for example by ceasing fundraising requests or no longer making calls.
